Read below for details on all the changes.
New
- Collect data using the new survey functionality! Participants can scan a QR code and immediately fill out the questionnaire.
Note: This functionality is not enabled by default. If you would like to use surveys, please contact support@myresearchmanager.com.
We have developed a method that allows the EDC to be used for conducting surveys and recruiting participants. Participants can register for a study or complete surveys via a URL or QR code, without needing to be pre-registered in the EDC as participants. For example, the QR code or URL can be placed on flyers and/or websites.
After clicking the URL or scanning the QR code, the subchapter linked to that URL or code will open. Once all answers have been filled in and the participant clicks ‘Submit,’ a new participant is created in the EDC study. It is also possible to add an extra step, requiring approval before a new CRF is created.
The use of the survey functionality is limited to studies that utilize automatic participant number generation. You can enable this feature via Administration > General Study Information.
Follow these steps to use the surveys (note: the functionality must be activated; contact your application manager or ResearchManager support for this):
- Via Management go to Self Service Settings
- In the ‘Schedule’ tab, select the relevant subchapter and click the ‘Edit’ (pencil icon). A pop-up window will appear where you can select the ‘Planning Type.’ Choose the ‘Survey’ option. Save the settings and close the window.
Note: This functionality cannot be used for repeating chapters. -
Next, add a survey by clicking the plus icon in the far-right column. A pop-up window will appear where you can fill in various survey details: title, site, expiration date, and select a template. Finally, you can enable the ‘Surveys must be confirmed’ option. If this option is checked, submitted surveys must be confirmed before being added as a CRF. If a maximum number of participants is set (for the study or a specific site), this option will be enabled by default.
It is possible to generate multiple QR codes / URLs per site or subchapter. This allows you to vary the text and expiration dates. By expanding the subchapter (using the triangle icon to the left of the title), you can view all added surveys.

Once you have added a survey, you can copy the URL or QR code by clicking the ‘Show code’ button (QR code icon). You can then share this link/code, for example on a website or flyer.
When a potential participant clicks the link or scans the QR code, they will be automatically directed to the survey’s start page. The survey begins by clicking the ‘Start Survey’ button. A provisional participant number is then created. Once the participant clicks ‘Submit Survey,’ the entered data is saved in EDC.

Depending on the setting ‘Surveys must be confirmed,’ the next step varies:
a) If the setting ‘Surveys must be confirmed’ is enabled, the survey must first be confirmed before the participant is created as a CRF. The participant number will only be generated after confirmation. You can confirm survey responses via CRF > Self Service > Surveys.
You can do this for each submitted survey individually, or in bulk.
Afterward, you will still need to add the new participant to your working set. This can be done via CRF > Overview.
b) If the setting ‘Surveys must be confirmed’ is not enabled, the participant is immediately created in the CRF. A participant number is generated instantly. You will still need to add the new participant to your dataset via CRF > Overview.

Improved
- Specific properties in template exports
Template exports have been improved: you can now include all specific properties per component. Each property is shown as a separate column in the Excel file, organized by property type.
- Faster navigation from General Study Information
Two handy buttons have been added to the General Study Information page: Sites and Template. These let you quickly navigate to the relevant study configuration pages.
- See which filters were used in exports
You can now view which filters were used in each export. Click the magnifying glass icon next to an export to reload the page with the exact filters used at that time.
- Keep your filters in user management
In the user and role management screen, your filters are now preserved. When you open a user and return to the overview, your previous filters remain in place.
Bug fixes:
- Data in the audit trail of the Calculation component was not displayed correctly when the application was set to English culture. In fact, the data was shown in a study in the English format, but was stored in the Dutch format, causing commas and periods to be interchanged. This has been fixed; we show the same format in the audit trail as in the study.
- In the overview of recurring subchapters per patient in the CRF, the correct format was not shown for Date Time components. When only a date format was selected in the specific properties of the component, a time (00:00:00) was automatically added and when only a time format was selected, a date (current date) was automatically added. In the audit trail these components were saved correctly, but now the correct format is also shown in the overview of the recurring chapters.
- Conditions on the Thermometer component did not work correctly when Orientation in the specific properties was set to vertical. This caused this component to be displayed incorrectly when the set condition was not met. Conditions now work as it should on this component again.
