New Meetings Module available in the CTMS!
With the new Meetings Module, planning and managing meetings for study review becomes simple and well-organized. Meetings can be fully customized: decide which studies and components will be discussed to create a structured agenda right away.Access to studies and documents for meeting members is fully configurable. Depending on the settings, this can range from access to selected components only, temporary access during a meeting, to continuous access. This ensures that all necessary information is available at the right time without the need for manual searching.
The module also provides more transparency for researchers: they can clearly see when their study is scheduled for a meeting, allowing them to plan and prepare accordingly.
In addition, the module supports the use of predefined groups, enabling members to be added to meetings automatically while keeping everything well-organized.
Discover how to plan meetings and link studies by viewing the full user guide (available soon) or contact our support and make the most of this new functionality.
Targeted emails to submitter or Principal Investigator
You can now send status emails only to the submitter or the Principal Investigator!
We have added the Study details component to the setting “Send only to linked users via:” in the email templates. There you will now find two new options: Study details – Principal Investigator and Study details – Submitter (if that field is active in Study details). This allows you to ensure that an email is sent only to users with the Researcher role who are marked as Principal Investigator. You can also send an email to users with the Trial Office role who are marked as submitters, and even send a different email to users with the Researcher role marked as submitters. This way, you can configure many different email templates for roles designated as PI or submitter.

Filter on number of rows in review components
At Management > Process transitions > Conditions, a new filter option has been added for the Reviews component type.
From now on, you can check conditions based on the number of rows added in a review component, just as was already possible with the Documents component. The available conditions are:
Equal to
Not equal to
Greater than
Less than
Greater than or equal to
Less than or equal to
The value you compare against is numeric, allowing you to configure process transitions more precisely.

New option for certificate notifications
A new option has been added in certificate settings: Notifications for expired certificates: X days after the expiration date. This lets you define how long after the expiration date notifications will still be sent. The default value is 0 days.An explanation has also been added: for expired certificates, notifications are only sent during this defined period after the valid until date.
With this extension, notifications are now sent at the right times and only once per user. Additionally, reminders can be sent shortly after the expiration date if desired.
Improved
Upload document directly with certificate
When adding a new certification for a user, you can now upload a document immediately.
Previously, you had to first place the document in the user’s profile and only then link it. This detour is no longer necessary: you can now add the certificate directly including the document.Optional Page field in Question & Answer
For the Question & Answer component type, the Page field has now been made optional.
Previously, this field was always shown. Now you can decide whether you want to use it, just like the Reference field.
Bug fixes:
Conditions on numeric components with decimals were sometimes not evaluated correctly because the comparison used a comma while the component value used a dot. This has been fixed by formatting both values consistently.
On the Start page, a component filter with multi-select was not cleared after deselecting the field in the column overview. As a result, other filters no longer worked until you manually clicked Clear filter. This has been fixed: the filter is now automatically cleared.
In the CTMS log component, the status of log items could only be permanently changed by the user who created the item. If another user changed the status of a log item, the old value was restored after saving. This has been fixed: statuses of all log items now remain correctly saved.
After deleting a component description, the title remained underlined and an empty description was displayed. This has been fixed: no empty placeholder is shown anymore if no description is provided.
In the budget component, the bulk delete button was not displayed when a user had only delete rights. It only appeared if add/edit rights were also available. This has been fixed: the button is now correctly shown when only delete rights are present.
The eSign button was not displayed if the flow was only set on subprocess statuses, since until now only the main process was checked. As a result, eSign flows could only be configured for main process statuses and not for subprocesses. This has been fixed: eSign flows now also work with subprocesses.
In the Library, filtering by Document did not work: entering text had no effect. Other columns, such as Category, also filtered incorrectly or with delay when text was entered in the Document filter. This has been fixed: filtering now works directly and correctly.
